Troubleshooting AI Feature Errors in eDirectory

Introduction

eDirectory includes AI-powered features that rely on a valid OpenAI API connection. If there is an issue with the OpenAI API key, billing, quota, or account configuration, the AI feature may display an error when used inside the platform.

In most cases, AI-related errors are caused by one of the following:

  • The OpenAI API key is invalid or incorrect.
  • The API key was copied with extra spaces.
  • The API key was deleted, revoked, or regenerated.
  • The OpenAI account has reached its usage quota.
  • The OpenAI account has no available credits.
  • The OpenAI account billing is inactive or incomplete.
  • The API key belongs to a different OpenAI project or organization.

This article explains the most common causes of AI errors in eDirectory and the steps you can follow to troubleshoot them.


Common Symptoms

You may need to review your OpenAI configuration if you experience one of the following issues:

  • An error message appears when trying to use an AI feature.

  4. Copy the API key again directly from OpenAI.
  5. Go back to eDirectory and paste the key again in the OpenAI integration settings.

When copying and pasting the API key, make sure there are no extra spaces before or after the key. Even an extra blank space can prevent the key from being validated correctly.

2. Check if the API Key Was Deleted or Regenerated

If the AI features were working before and stopped suddenly, the API key may have been changed in OpenAI.

  • The API key was deleted.
  • A new API key was generated, but eDirectory was not updated.
  • The OpenAI account owner rotated the API key for security reasons.
  • The API key belongs to a different project or organization.

If an API key is deleted or replaced in OpenAI, the old key will no longer work in eDirectory. In this case, create a new API key and update the OpenAI settings in your eDirectory site.

3. Check the OpenAI Account Quota and Billing

If the API key is correct but the error continues, the issue may be related to the OpenAI account quota or billing.

AI features require available API usage on the OpenAI account connected to eDirectory. If the account has reached its quota, monthly usage limit, or has no available credits, OpenAI may reject the request and eDirectory may display an error.

To check this:

  1. Log in to your OpenAI API account.
  2. Go to the billing or usage section.
  3. Confirm that the account has available credits.
  4. Confirm that the monthly usage limit has not been reached.
  5. Confirm that billing is active and properly configured.
  6. If necessary, add credits or increase the usage limit.
  7. Return to eDirectory and test the AI feature again.

If the OpenAI account has no available quota, the AI features will not work until the billing or usage issue is resolved directly in OpenAI.

4. Confirm the Correct OpenAI Project or Organization

Some OpenAI accounts may have access to multiple projects or organizations. If the API key belongs to a different project than the one with active billing or available quota, the AI request may fail.

Please confirm that:

  • The API key belongs to the correct OpenAI project.
  • The project has billing enabled.
  • The project has available usage.
  • The user who created the API key still has access to the project.
  • The API key has not been restricted in a way that prevents API requests.

If you manage multiple OpenAI projects or organizations, we recommend creating a new API key under the correct project and updating it in eDirectory.

5. Check for Temporary Usage or Rate Limits

In some cases, the issue may happen when too many AI requests are made in a short period of time. OpenAI may temporarily limit requests if the account reaches its rate limit.

This can happen when:

  • Several AI actions are triggered quickly.
  • Multiple users are using AI features at the same time.
  • The same AI button is clicked repeatedly.
  • The OpenAI account has low usage limits.

If this happens:

  1. Wait a few minutes.
  2. Try using the AI feature again.
  3. Avoid clicking the AI action button multiple times.
  4. Check the OpenAI usage and limits page.
  5. If needed, review or increase the account usage limits in OpenAI.

If the error only happens occasionally and works again after waiting, it may have been caused by a temporary rate limit.

6. Generate a New API Key

If the issue continues after checking the previous items, generating a new API key is often the fastest way to resolve the problem.

To generate and update the key:

  1. Log in to your OpenAI API account.
  2. Create a new API key.
  3. Copy the new key.
  4. Go to the OpenAI integration settings in eDirectory.
  5. Replace the old API key with the new one.
  6. Save the changes.
  7. Test the AI feature again.

For security reasons, do not share your full OpenAI API key by email or in support tickets.
